Issue Bidder Numbers

Bidder numbers link a number (e.g. 101, 202) to a person (GEM ID) for that auction. They are used in Complete Bids, invoices, loadout sheets, and reports, so issue numbers before or during the sale as buyers register.


Issuing a new bidder number

  1. Bidder Number
    Enter the number to assign (e.g. 1001). It must not already be used for this auction.
  2. GEM ID
    Enter the buyer’s GEM ID (entity ID). This must be a valid person in the system.
    • Use Get GEM ID to search and select a person; it will fill the GEM ID field.
  3. Click Submit.
  4. Verify
    The screen shows a confirmation with Bidder Number, GEM ID, Ranch Name, City, and State.
    • Accept – Saves the assignment and returns you to the form so you can issue another.
    • Reject – Cancels this assignment (the number is not saved and can be used again).

After you Accept, the bidder number is active for this auction and can be used in Complete Bids and on invoices/loadout.


Reassigning a bidder number

Use this when the same bidder number should point to a different person (e.g. wrong GEM ID was entered, or someone else is using that paddle).

  1. In the Reassign Bidder Number section (red-bordered area), enter:
    • Bidder Number – The existing number for this auction that you want to reassign.
    • New GEM ID – The GEM ID of the person who should now have that number.
  2. Click Reassign.

The system updates the bidder number to the new person. Any existing purchases (in auction_buyers) that were under the old person for that bidder number are also moved to the new person, so invoice and buyer history stay consistent.

Requirements:

  • The bidder number must already exist for this auction.
  • The new GEM ID must be a valid person in the system.

Tips

  • Bidder List report – Use the Bidder List link on the same screen to print or export the list of all bidder numbers and their associated buyers for this auction (HTML, Word, Excel, or tab).
  • Uniqueness – Each bidder number can be used only once per auction. Each GEM ID can have only one(not true!!!) bidder number per auction (the app allows re-issuing the same GEM ID in some paths; avoid duplicate assignments).
  • Before Complete Bids – Issue bidder numbers before or while using Complete Bids so buyers can be selected by number when entering sales.
